Most couples plan the wedding and improvise the invitations. Then the questions start arriving in a rush: is it too early for a save-the-date, what exactly goes on the card, how do we word it, and when do we finally ask people to confirm?

There are really only three moments that matter, and they do different jobs.

This guide covers all three — when each one goes out, what belongs on it, and wording you can copy for each. If you only need one part, jump to it.

The single rule that governs all three: anything that might change should not be printed. Names, blessings and the primary date are safe. Timings, dress codes, venues for the smaller functions and travel details are not — those belong somewhere you can edit.

Stage 1: The save-the-date

Save-the-dates are the newest arrival in Indian weddings, and plenty of families still skip them. That is a reasonable choice — but there are three situations where skipping costs you real guests.

When you genuinely need one

Your wedding is a destination wedding. Udaipur, Goa, Jaipur, Kerala. Guests are booking hotels and taking three days off work. They need to know in month two, not month eight.

A meaningful share of your guests are flying in. NRI relatives are booking international flights, where booking two months earlier instead of two weeks earlier is routinely the difference between a normal fare and a last-minute one. Tell them the date sooner and they will thank you in currency saved.

Your date sits inside a heavy muhurat cluster. In peak season your guests are invited to three other weddings the same week. The family that announced first is the one people plan around.

If your date falls in a crowded muhurat month, add two months to whatever you were planning. You are not competing for attention, you are competing for calendar space — and for the same relatives, who cannot attend two sangeets on one evening.

When you can skip it

If most of your guests live within driving distance, the family has already told everyone verbally, and nobody needs to book a flight — you do not need one. Send a good invitation on time instead.

What a save-the-date must contain

Almost nothing. This is the most common mistake: couples treat it as a mini-invitation and cram in details that are not settled yet.

It needs exactly four things:

  • The couple's names
  • The date, or the date range if there are multiple days
  • The city
  • The words "invitation to follow"

That is all. No venue, no schedule, no dress code. You do not have those yet, and if you print them you will be correcting them later.

Stage 2: The invitation

Six to eight weeks out for a local wedding. Ten to twelve if people are flying.

The printed card usually goes to elders and close family well before that, because card dena is a visit — mithai, a blessing, five minutes of sitting down. That is not a delivery mechanism and should not be optimised away.

Who gets what

A pattern most families land on without ever deciding it formally:

  • Printed card, delivered in person — grandparents, close relatives, family friends, anyone who would notice its absence
  • Printed card, couriered — outstation relatives in the same tier
  • Digital card on WhatsApp — everyone else, and also everyone above, because that is the version that actually gets forwarded
  • The link on both — so anyone can find the venue and timings without ringing your mother

What goes on the card

Four things, and then a link:

  1. The invocation or blessing
  2. The names of the couple and the hosting families
  3. The primary wedding date
  4. The main venue
  5. A QR code, printed large enough to scan, with a short readable URL underneath for people who would rather type

Everything else — the mehendi timing, the sangeet dress code, the hotel block, directions, the schedule for day two — goes on the website. Not because the card cannot fit it, but because the card cannot be corrected.

The insert card trap. Families often solve the space problem by adding four or five insert cards, one per function. It works right up until a timing changes, at which point you have printed five wrong things instead of one. If you are already at three inserts, a link is cheaper and more reliable.

Stage 3: The RSVP

This is the stage most Indian weddings skip entirely, and it is the one that costs money.

The card cannot collect a reply. Printing a phone number means someone in your family takes several hundred calls. And "haan haan, aa jayenge" in a family group is warm, sincere, and not a headcount.

Ask per function, not once

Your mehendi crowd and your reception crowd are different people. Colleagues get the reception; the extended family gets everything. One number cannot describe four events, and catering is priced per plate — so every guess is charged to you.

When to close

Work backwards from your vendors:

  • Accommodation: about a month out. Hotel blocks typically release 3–4 weeks before the wedding, so you need your numbers just ahead of that.
  • Catering: set a first RSVP deadline 3–6 weeks before each function, then a final headcount around two weeks out. Most caterers want that final number 7–10 days before the event; the extra week is for chasing stragglers, not for the first ask.
  • Send one reminder, roughly three days before each deadline. It is not nagging, and it is the difference between a real number and a guess.

Read the bottom row first. It is the reason the split exists.

Five mistakes that cost the most

1. Printing timings for the smaller functions. The wedding time rarely moves. The sangeet time moves constantly. Print one, link the other.

2. Sending the save-the-date too late for the people who need it most. Your NRI guests are the ones for whom it exists at all. If it arrives at four months, it has done nothing for them.

3. Treating the save-the-date as a small invitation. Four fields. Adding a schedule you have not finalised guarantees a correction.

4. Making the QR code too small. It gets scanned by relatives in poor light holding a card at arm's length. Print it larger than looks necessary, and always put a readable URL underneath.

5. Asking for one RSVP. You will get one number, pad it by 20%, and pay for the padding at every function.

Putting it together

The sequence that works, end to end:

  1. 8–12 months: save-the-date to anyone booking a flight or hotel. Four fields, nothing more.
  2. 3–4 months: the wedding website goes live with every function, dress code and travel note.
  3. 10–12 weeks: printed cards to elders and close family, in person where possible, with the QR code on them.
  4. 6–8 weeks: the digital card on WhatsApp, website link inside it.
  5. About a month out: accommodation RSVPs close, hotel block sized and surplus released.
  6. 2 weeks before each function: final headcount goes to the caterer — the first RSVP ask for that function should already be 3–6 weeks behind you.

The card does the ceremony of inviting. The website does the logistics. Each is better at its own job than it would be at both.

When should you send save-the-dates for an Indian wedding?

Eight to twelve months ahead if your wedding is a destination wedding or a significant share of your guests are flying in from abroad, because they are booking international flights and taking leave. Six to eight months is enough for a local wedding where most guests are in the same city. If your date falls in a heavy muhurat cluster like November or December, add two months to whatever you were planning, because your guests will be invited to three other weddings that week.

Do Indian weddings actually need save-the-dates?

Not traditionally, and not always. They matter when guests must commit money or leave before the formal card arrives — destination weddings, NRI guests booking international flights, or a date inside a crowded muhurat season; skipping one in those situations costs you real guests. For a local wedding where most guests live within driving distance and the family has already spread the news verbally, it is genuinely optional and skipping it costs nothing.

How far in advance should Indian wedding invitations be sent?

Is it rude to send a wedding invitation on WhatsApp in India?

It is completely normal now, with one caveat about hierarchy. Elders and close relatives should receive a printed card in person where possible, because the gesture matters more than the information. For everyone else, WhatsApp is where the invitation will actually be seen and forwarded. Most families do both, and nobody takes offence provided the people who expect a card receive one.
